JOB SUMMARY:
Dedicated and efficient Elementary School Secretary ready to join our team. The ideal candidate will be responsible for managing the front office, providing student and parent assistance, maintaining student records, financial duties, and coordinating school events.
QUALIFICATIONS:
Knowledge, Skills, Abilities: Knowledge of: business English, word processing and spreadsheet software with emphasis on Microsoft Office. Skilled in: keyboarding, ten-key adding machine, and computer entry/operation. Ability to: perform detailed assignments with a high degree of accuracy and thoroughness; compose memoranda and letters with clarity; understand and follow written and oral instructions; develop student database and run necessary reports; meet the public and create a good impression; receive, screen and give varied information to callers; maintain confidential information. Flexible and willing to do a variety of jobs, including assisting ill and injured children, monitoring medical protocols, and providing a variety of services prescribed by the protocols. Flexible and willing to do a variety of jobs to meet deadlines and complete all required training. Ability to communicate with Spanish speaking students and adults preferred.
Experience: At least three years’ secretarial experience.
Education: High school diploma or general education degree (GED).
Certification Required: Medic First Aid Card.
ESSENTIAL JOB FUNCTIONS:
- Act as secretary to the principal and school
- Render clerical assistance to school personnel as requested.
- Receive telephone calls, relay messages and act as a receptionist for the office.
- Type letters, reports, requisitions, inventories, and all other necessary items
- Maintain inventory file of supplies and materials.
- Prepare and enter all computerized materials as requested.
- Register students and keep all student records as requested.
- Order, receive and distribute supplies and other office materials.
- Prepare and distribute mail.
- Operate the copy machine, fax machine and other office equipment.
- Facilitate entry of visitors to the building.
- Sign in substitutes and direct them to the appropriate location.
- Keep records of employees for leave and payroll purposes.
- Maintain daily attendance for use in quarterly and annual reports to county and state.
- Maintain office bookkeeping according to established procedures.
- Administer first aid and medication to pupils according to procedures set by the county health department and district procedures.
- Maintain an organized first aid room, student medical protocols, equipment and maintain equipment on a daily basis, i.e., paper jams, toner.
- Arrange appointments with the district health nurse.
- Assist in preparation of budget requests
- Schedule maintenance of office equipment and maintain equipment on daily basis, i.e., paper jams, toner.
- Assist the principal with organizing parent volunteers, distributing ID badges, and maintaining the building volunteer database.
- Develop spreadsheet and computerized reports for student enrollment, attendance, testing scores and grades.
- Complete work orders, facility use forms, and other forms as requested.
- Schedule building events.
- Input and maintain student immunization information.
- Assist the principal with communication with parents and local patrons (newsletters, eschool news).
- Assist with playground, cafeteria, or dismissal as needed.
- Cultivate and model a respectful working and learning environment.
- Ability to effectively work and communicate with students, parents, and school personnel from diverse cultures or backgrounds in English, Spanish, or other languages related to the job.
- Ability to work harmoniously with others.
- Perform other duties as may be assigned by the principal.
JOB_REQUIREMENTS:
Language Skills: Ability to read English and comprehend complex technical language. Ability to write memos and correspondence in English. Ability to effectively present information in
one-to-one small group situations.
Mathematical Skills: Ability to perform basic mathematical calculations with a high degree of accuracy.
Reasoning Ability: Ability to apply common sense to carry out detailed, but basic, written or oral instructions in English. Ability to deal with problems involving a few concrete variables in standardized situations.
Other Skills and Abilities: Ability to work collaboratively and establish and maintain effective working relationships with coworkers, supervisor(s), staff, students, parents and community.

While performing the duties of this job, the employee is frequently required to walk and may be continuously required to stand. The employee will frequently bend or twist at the neck and trunk while performing the duties of this job. The employee is occasionally required to reach with hands and arms and stoop, kneel, crouch, or crawl. The employee continuously uses hand strength to grasp tools and frequently performs repetitive motions. The employee must be able to lift and/or move up to 10 pounds. The employee may be required to sit at a desk and use a computer for long periods of time.
WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Works in a classroom environment in close proximity to students and other adults. May encounter students with emotional problems or hostile attitudes. May be required to use a telephone and operate a computer.
TERMS OF EMPLOYMENT:
Works a 185-day calendar with holidays and recess breaks as established. Performance will be evaluated in accordance with Board policy on the evaluation of Classified personnel.
CLASSIFICATION/LOCATION:
Classified, Full-Time, 8 hours per day, 5 days per week. Mabel Rush Elementary
CALENDAR/BENEFITS:
Start Date January 7, 2025
Salary Range 10 of the 2024-25 Classified Wage Schedule $19.97 - $25.41 per hour starting salary. Part-time, no benefits.
