JOB SUMMARY:
Secretary to Chehalem On-Line Academy
PREFERRED QUALIFICATIONS: Knowledge, Skills, Abilities: Knowledge of: business English, word processing and spreadsheet software with emphasis on Microsoft Office and Google Suite Applications. Good reading, writing, and organization skills. Knowledge and understanding of benchmark standards per grade level(s) assigned. Skilled in: keyboarding, computer entry/operation and operation of office equipment. Ability to: (1) maintain a high level of confidentiality both in and out of the school setting; (2) perform detailed assignments with a high degree of accuracy and thoroughness; (3) compose memoranda and letters with clarity; (4) understand and follow written and oral instructions; (5) meet the public and create a good impression; (6) receive, screen and give varied information to callers. Flexible and willing to do a variety of jobs. Ability to communicate with Spanish speaking students and adults preferred.
Preferred Experience: At least three years or equivalent secretarial experience. Experience working in a public school setting.
Education: High school diploma or general education degree (GED).
Certification Required: Medic First Aid Card
ESSENTIAL JOB FUNCTIONS:
- COA communication liaison for families and NDPS staff
- Act as a receptionist for students and parents.
- Operate the copy machine, fax machine and other office equipment.
- Review format, type and assemble various forms and reports.
- Coordinate student demographic information.
- Design and implement data collection forms.
- Coordinate mailings.
- Coordinate requested purchases of curriculum materials with DO staff.
- Process and code time sheets and reimbursement forms.
- Maintain daily attendance records and contact parents of students whose absence is in question.
- Coordinate the registration and withdrawal of students.
- Maintain transcripts and other official documents or information relating to students.
- Coordinate grade verification, post grades, and associated reports.
- Process student accident reports
- Log, distribute, and file discipline referrals.
- Cultivate and model a respectful working and learning environment.
- Ability to effectively work and communicate with students, parents, and school personnel from diverse cultures or backgrounds related to the job.
- Ability to work harmoniously with others.
- Perform other duties as assigned by the principal and/or designee.
JOB REQUIREMENTS:
Language Skills: Ability to read English and comprehend complex technical language. Ability to write memoranda and correspondence in English. Ability to effectively present information in one-to-one small group situations.
Mathematical Skills: Ability to perform basic mathematical calculations through the high school level with a high degree of accuracy.
Reasoning Ability: Ability to apply common sense to carry out detailed, but basic, written or oral instructions in English. Ability to deal with problems involving a few concrete variables in standardized situations.
Other Skills and Abilities: Ability to work collaboratively and establish and maintain effective working relationships with co-workers, supervisor(s), staff, students, parents and community.

While performing the duties of this job, the employee is frequently required to walk and may be continuously required to stand. The employee will frequently bend or twist at the neck and trunk while performing the duties of this job. The employee is occasionally required to reach with hands and arms and stoop, kneel, crouch, or crawl. The employee continuously uses hand strength to grasp tools. The employee must be able to lift and/or move up to 10 pounds. The employee may be required to sit at a desk and use a computer for long periods of time.

Works in a school environment. Able to use a telephone, operate a computer, and use other office equipment. Able to drive to other program sites and meetings.
TERMS OF EMPLOYMENT:
Works a 210-day schedule with holidays and recess breaks as established. Performance will be evaluated in accordance with Board policy on the evaluation of Classified personnel.
Classification/Location: Classified, Temporary - Part-time Position at Catalyst - COA
Calendar/Benefits: 210 day Calendar, 4 hours per day. Start Date: August 10th, 2025.
Range 10 of 2026-27 Classified Wage Schedule TBD, (2025-26 $20.67 - $26.30 per hour).
